OFFICIAL

President David Martin called the meeting at 9:25 a.m.

Absentees:   Judy Ford, Buddy Singleton, and Tom Ahern    (all excused)

Members:   President Martin announced that today is the first general meeting in the year of 2010.

Pledge to the Flag:   (still no access to the flag) Richard Bonheyo led the pledge per LeRoy Boren’s request.

Minute Corrections:
a)    Line 156 needs to be corrected -- Jerry Grigsby subbed for Brenda Call.
b)    Line 10 needs to be corrected – LeRoy Boren was present.

Richard Bonheyo proposed that the minutes be accepted  as corrected.  Seconded by Jerry Grigsby.

President Report:  David Martin asked each board member to present their report one by one.

Vice-President Report:   Jerry Grigsby said that last year SFCD sponsored a field trip to Apple Hill.   For this year, he and Judy Ford are planning a field trip to Monterey Aquarium.

Secretary Report:   Brenda Call thanked Jerry Grigsby for subbing her last March.

Treasurer:  Richard Bonheyo presented many numbers which I am unable to type.   For the specifics, please see report which was distributed at the meeting.   Jerry Grigsby proposed that the treasurer’s report be accepted.   LeRoy Boren seconded it.

Board of Trustee’s Report:  Liz Grigsby has met with the board of trustees and president.   They agreed to limit $31,000 for budget.   Congratulations go to the board for doing a good job in watching the budget.

Board/Webmaster’s Report:  LeRoy Boren asked for feedback on SFCD website.    They can either email or talk in person.  If they have SFCD pictures to post on the website, please send them to him.

Event Director’s Report:  Clark Brooked reported that so far he has nine requests.   As for the retreat last February, the board reviewed and discussed on how the requests and donation requests worked.

Richard Bonheyo brought up the concern regarding giving $1,000 to DCARA at a previous board meeting.   It needs to be returned ASAP as the board should have never passed something without Jim Brune’s presence at the meeting.

Today, we have a fundraiser by the softball players who are here.  Rima Cornish:  A representative for the SF Stingers softball team.   She reported that Maryland’s softball team has a winning streak (for the past 5 years) and wants to break that.   BBQ will be held this afternoon as planned.   The profits will be split with SFCD and Stingers’ softball team.  The regional tourney will be held in Washington on June 26th thru 28th.  Another softball tournament will be held in Portland, Oregon in August.

PAC Student Representatives:  (from the California School for the Deaf) they gave their presentation which included their updated financial reports.   They asked SFCD to present the PAC award at the 8th grade promotion on June 10th at 2 pm.  They invited the president to do the honor.   The board is invited to attend.

President David Martin:  He mentioned the need of getting a safe box as all items, legal deeds, and other important stuff need to be protected and kept in one safe place.

Proposals/sponsorships:

Proposal – Rima Cornish

I propose that SF Stingers and SFCD have a partnership on an annual basis.  I want SFCD to be the main sponsor (like owning the team) and take care of the fees and sponsorships.   Yes, there will be a MOU involving everything.   Jerry Grigsby asked that the proposal to be referred to the event director.     Rima wants the fees to be paid by SFCD automatically on an annual basis.  As for sponsorship, Rima agreed to attend and request in person.  I move that SFCD partner with the Stingers on an annual basis with the understanding that MOU will be developed.    Seconded by Bert Enos.   Voted.   PASSED.

Proposal -- Dick Mussen: NCGAD (Northern California Golf Association for the Deaf) wants the nonprofit form to be signed by SFCD so they can be permitted to do volunteer  work and fundraise money for its association.  They will earn 50 to 60 dollars per volunteer.   For example, if have five volunteers per game, then they will be able to collect $250 -300. Dick was advised by the board to check with the office to see if SFCD’s tax i.d. number qualifies first before the board signs the form.

Proposal – DCARA:     Deaf Community Night, Black Community Night, Thanksgiving,   and others.   We met with DCARA representative Chriz Dally this morning at 815 a.m. to discuss proposal. Chriz will take notes and share them with Jim Brune and let us know if they agree to our MOU discussion. Chriz explained about two events -- Oktoberfest and Thanksgiving feast -- wants to give a booth to SFCD as part of MOU.

Proposal – Jane Newkirk:  She asked for financial support for her daughter Alex who will participate on a basketball team in Poland.   She shared what they have done to help fundraise on their part.   As for a specific amount of money, it is up to the board to decide.

Proposal -- Larry Venegas:    $2500   The MOU was found.  Has it been met?  If yes, then we can reconsider but Larry has not attended the meeting today to present his proposal.  Therefore we will not act on this proposal.

Proposal -- LeRoy Boren:  the fishing charter boat company – they want to reserve a boat for next year – must reserve it ASAP or it will be too late.   This is a good opportunity for SFCD members to participate.

Proposal -- Rima Cornish:  She asked that SFCD help match the amount of money they fundraise to help with the sponsorship for the Stingers.  (Refer to the earlier story today).

Proposal -- Judy Ford --   FOG will have its 5th year anniversary -- asked for 300 dollars. The event will take place on May 21st.  According to the policy, we must wait until July before making a decision.

Proposal -- Toby Daniels -- CSD Bengals Tackle Football -- asked for 2500 to help meet the team fee obligation of $5,300 for this coming fall season.

Proposal -- Phyllis Vidicki -- needs to purchase some light weight tables for potluck use and entertainment   used by Senior Citizens.  The reason for this proposal is because the old tables are too heavy to move.    It will be a good idea to put labels on the new tables so others will know that they belong to the Senior Citizens.

Proposal --Rima Cornish -- Deaf Youth Association – USA is a newly established organization for ages 18 thru 30.   They will have camp this summer to help promote leadership.   SFCD can get a booth -- different levels of sponsorships were explained.   Camp will take place this July 4th.

Event Director Clark Brooke’s current list of proposals to be acted on during July’s proposal/board meeting.

SFCD Sponsorship Requests
Type of request and proposed MOU points

There are three types of request that we will be considering; Donation, Sponsorship, and Partnership.

Donations:   We will provide funds and require nothing from the organization.

Sponsorship:  We will provide funds and develop a Memorandum of Understanding that will list all benefits and agreements between the organization and SFCD.  SFCD will receive non-fiscal benefits out of the sponsorship agreement.

Partnership:  We will provide funds and develop a Memorandum of Understanding that will list all benefits and agreements between the organization and SFCD.  SFCD will receive fiscal benefits out of the partnership agreement.

Mixed: Requests may include any types of requests (above)

Request Date:  1/11/10
Type of Request: Mixed

A MOU currently is being developed.  A donation of $1,000 to DCN has been eliminated from the request.  SFCD agreed to donate $600 for the Black History Month.  We are asking for a partnership with DCARA for the Oktoberfest event (a ROI of $1,500 and up to 50% is being requested).  If DCARA rejects this proposal, we will donate only $1,500 to the Thanksgiving Dinner.

Type of Request: Sponsorship

Recommendation to the Board:  SFCD could consider supporting the softball team by paying their fees only.   And let them take care of the fundraising part on their own.  If they are unable to come up with $2,000 before the fee is due, we should reject their request.  It will be important that the players realize that we can only support a team but the expenses should come from the players themselves.

The board needs to discuss this further.  Personally, I think we should give a significant number of funds to DYUSA to get the organization up and running in the Bay Area.  We truly need to support this organization’s mission in promoting leadership among adults of ages between 18 to 30.

I do think we could donate a small amount to the national DYUSA camping event (I have the letter).  Say, between $100 to $500 will be a good idea.

Total of funds being requested as of May 24, 2010: About $31,500 to $33,500.
Each requestor will need to get in touch with me ASAP to start talking about what they need from us then we will make a determination.

I think the board will need to meet for a short time later in June so that I can develop specific MOUs and communicate with people before we make decisions at the July meeting.

Clark Brooke asked that all those (requestors) to contact him for a brief meeting thru VP or email so they can discuss ideas for the MOU.  Then he will meet with the board and make decisions from there.

LeRoy Boren proposed to close new business.    Seconded by Jerry Grigsby.
