We collect only what we need to run memberships and events.
What we collect
- Membership: name, email, phone, mailing address, membership start and renewal dates, and the names of children under 18 covered by a parent or legal guardian’s membership.
- Tickets: name, email, the event, number of tickets, and the names of family members you buy for. We keep a waiting list when an event sells out.
- Payments: amount paid and payment date. Card details are handled by PayPal and are never stored by the Club.
- Website: what you type into our membership, event request, proposal, sponsorship and contact forms, plus your member login.
- Automatically: cookies and similar tools that show how visitors use the site, such as pages viewed and device type.
- Photos and video: images taken at Club events (see Photos and social media below).
How we use and share it
We use your information to manage memberships and dues, sell and verify tickets, run the waiting list, answer your messages and send Club notices. We do not sell, rent or share your personal data for anyone else’s marketing.
We share it only with service providers who help us run the Club, under their own privacy terms:
- Website hosting and IT support: Bluehost
- Payments: PayPal
- Email delivery: Mailchimp and Google (Gmail)
- Website statistics: Google Analytics
- Embedded services on our pages: Google Maps, Google Fonts, YouTube, Facebook and Instagram
We may also share information when the law requires it. Board members and event chairs see member and ticket details only as needed for their role.
Photos and social media
When you join the Club, you agree to our waiver rule: we may share pictures taken during events on our social media. By attending an event, you acknowledge and agree to this policy.
If you do not want your photo shared, tell the event chair or reach us through sfdeafclub.org/contact-us and we will avoid posting it. To have a posted photo removed, send us the link through the same contact form and we will take it down within 30 days.
Cookies, retention, security and children
- Cookies: we use cookies and similar tools to keep you logged in and to understand how visitors use the site. For visitor statistics we use Google Analytics, which sets its own cookies and sends Google information such as the pages you view, your device and browser type, and your approximate location. We use it only to see how the site is used, not to show you advertising. You can block or delete cookies in your browser settings; some features may stop working. To opt out of Google Analytics on every website, you can install Google’s opt-out browser add-on.
- Retention: we keep membership records while you are a member and for 10 years after your membership ends. Payment records are kept as long as tax rules require.
- Security: we limit access to member data to Board members and volunteers who need it, and use reputable providers. No online system is perfectly secure.
- Children: we do not knowingly collect information directly from children under 13. Children 17 and younger are covered by a parent or legal guardian’s membership, and we collect their names only through that parent or guardian.
Your rights and contact
You may ask to see, correct or delete your personal data, object to how we use it, or withdraw consent where we rely on it. Some records, such as payment history, may need to be kept by law. Contact us through sfdeafclub.org/contact-us; we will reply within 30 days.
We may update this policy. The “Last updated” date at the top shows the current version, and we will announce major changes to members.
